Deposit & Cancelation Policy for GROUP Trips
***The following applies to our group trips and not for Custom Trips****
For our group trips, we require a deposit of $350 per person with your reservation. We require full payment for your trip no later than 60 days prior to departure. If you cancel your group trip (Does not apply to custom trips) at least 8 weeks before the trip start date, you may receive a full refund, less $350. We require written email cancelation and request that you call us to verify that the cancelation was received. (For full details, see our Booking Policy here.)
You are welcome to find a qualified replacement person to attend your trip and receive a full refund less $100.
Unfortunately, we cannot make refund exceptions for personal emergencies, health problems, etc. Once your reservation is confirmed, we lose the opportunity to sell your spot to someone else. Because of this, we recommend “trip cancellation / trip interruption” insurance. Trip insurance is also good for unforseen expenses and delays in your travel, for example if your flight was delayed and you were unable to make it to your hotel on the first night, your trip insurance would cover a hotel in San Jose for the night and your transportation the following day to catch up with our group.
Because we can’t control the weather, itineraries are subject to change to ensure the safety of our guests. Itineraries and trip prices are subject to change due to circumstances that are beyond our control.
Trips may be canceled if the required minimum attendees are not met for a group. Normal minimum for a group trip is 6 people. A trip may be cancelled with less than 6 participants or a surcharge of $400 may be added to keep the trip running. Full refunds will be given for trips that we cancel.
Trip insurance providers Include:
Each of our group trips takes care of all logistics, transportation, lodging, meals and most activities.
Your trip price will include the following:
- Airport pickup and transportation to your hotel
- All lodging/accommodations during the trip dates (Talk to us if you would like to come in a day early or leave a few days later and we can help recommend locations)
- All shuttles to and from activities
- All meals from dinner of the first night to breakfast of the day the trip ends.
- Snacks and water during excursions
- Kayak Rental if you are participating in a week of rivers trip
- All boats, equipment, etc. for planned excursions and activities
- The best guides in Costa Rica
Items NOT included are:
- Airfare to Costa Rica (San Jose Airport)
- Alcohol, beer, wine, soda and mixed drinks
- Personal Equipment (ex. headlamp, personal kayak gear, etc.)
- Tips for your guides (at your discretion – We suggest 15-20% of the cost your trip)

Kayak Damage Waiver Insurance ($90 per week)
We offer OPTIONAL Kayak Damage Insurance that covers boats you paddle for the entire week – While we hope that damage never happens to our boats, we recognize that kayaking is inherently a dangerous sport and accidents can happen.
Similar to a damage waiver you would pay at a ski resort when renting a pair of snow skis, we offer an optional damage waiver insurance at the beginning of the week. If you choose to pay the damage waiver insurance fee, if there is any damage caused to your boat due to a swim, rock scrape or other mishap, you will NOT be responsible for the costs associated with replacing or repairing the boat.
Getting a new boat to Costa Rica can cost more than $1,300 and typically takes 6-8 weeks.
Because of the number of trips we take, we’ve found that there is a high likelihood that significant damage will be caused to a boat at least once out of every ten days we run groups on the river. This extra fee helps us make sure we are able to replace a boat that might receive significant damage and helps cover expedited shipping costs in case we need to quickly replace a boat for trips that are scheduled the next week.
This is our least favorite part of what we do, but if you choose to opt out of the damage waiver, and a boat you are paddling is damaged, we will assess what is needed to replace the broken part or broken boat and you will be charged for the replacement. We will take into account the situation and try to be fair about charging but please understand that if a boat is damaged while you are paddling or swimming, it is the responsibility of the paddler (or swimmer) to make things right and provide a replacement for the boat. That might mean that if a new boat were ruined, replacing a new boat could cost as much as $1,400.
For this reason, we encourage everyone who paddles with us to pay for the insurance coverage so that there are no awkward situations that come from a broken boat. The money we collect from this fee allows us to ensure that all of our boats are in good condition and frequently rotated so that those who paddle with us have the best possible boats to paddle during their trips with us.
